The role

We are looking for a talented and enthusiastic Weddings and Events Coordinator to join our growing team! You will be responsible for facilitating the seamless coordination of your own weddings, social and corporate events. This role requires high level customer contact from the initial inquiry and sales phase through to the coordination of the event on the day. This is an exciting and varied role that will give you the opportunity to use both your logistical planning skills and your creative flair.

Responsibilities and duties include, but are not limited to:

  • Sales, including responding to enquiries, taking site visits and converting to bookings.
  • Manage your time effectively so that all clients are supported at every stage of their planning process, managing the development and coordination of their events.
  • Attending the first part of your client’s events, taking care of travel and formalities, and making sure everything that was planned is executed correctly.
  • Liaise with clients to determine their specific event needs and clearly communicate this information to the operations team through event flow sheets and floor plans.
  • Assist clients with all styling needs and outsource styling elements that are not in-house.
  • Focus on growing your personal portfolio by selling drinks and styling and rental packages in-house.
  • Maintain a 24 hour turnaround time to respond to all emails.
  • Liaise with vendors regarding reservations and bump in/bump out logistics.
  • Ensure that insurance, legal, health and safety obligations are met for all events.
  • Achieve set KPIs and targets, including that all events have been paid in full, prior to execution.
  • Support other Event Coordinators as needed and directed.

At this stage, we envision this role as a casual position with up to 25 hours per week, including some weekend and evening shifts (when you have events), with the option to extend to hours at full time for the right person. Additional event times (with the current RSA) would be available if desired.

About you

  • Flexible availability (including weekends and evenings until 8 p.m.).
  • A first experience in a similar position is highly appreciated.
  • Confident and capable, with the ability to hit the ground running in most situations.
  • You will have a positive and solution-oriented attitude, with the flexibility and willingness to be part of an engaged team.
  • You will be able to work independently and have a solid knowledge of coordinating events in a room environment.
  • Strong attention to detail is essential, as is the determination to seize opportunities to exceed customer expectations and improve the customer experience from the first contact.
  • Previous experience in event styling would be highly desirable.

Although previous experience in an event role is strongly desired, training could be offered to the right candidate. Rather than just previous experience, it is essential for us that you have the right attitude and above all the qualities because it is something that cannot be learned!
